Is HubSpot's Free CRM Enough for a Sales Team?

What you get for free, where the limits bite, and when it's worth paying for Starter or Professional.

For one or two sellers, yes, HubSpot's free CRM is usually enough to run a clean pipeline. Teams of three or more, or anyone who needs automated follow-up, will hit its limits within a few months.

  • The most generous free CRM we know of
  • Email tracking, meeting links and templates even on the free plan
  • Huge library of free training in HubSpot Academy
  • The jump from Starter to Professional is big, and Professional adds an onboarding fee
  • Sequences and automation only start at Professional

What you get for free

  • Contact, company and deal records
  • One deal pipeline
  • Gmail and Outlook integration with email tracking
  • A meeting scheduling link
  • A handful of email templates
  • Basic reports and a mobile app

That's more than enough to stop deals falling through the cracks, which is the main job of a CRM.

Where the free plan runs out

  • Two users. The free tools are built for up to two people.
  • One pipeline. If you sell two different products with different stages, you'll want a second pipeline, which needs Starter.
  • HubSpot branding on your forms, meeting links and emails.
  • No sequences. Automated follow-up emails that stop when someone replies need Sales Hub Professional.
  • Limited automation. Workflows, such as assigning leads or creating tasks automatically, are also Professional features.

When to upgrade, and to what

Starter (about $9–15 a seat a month) removes the branding, adds a second pipeline and some calling minutes. It's worth it as soon as you have three or more people in the CRM.

Professional (about $90–100 a seat a month, plus a one-off onboarding fee) is where sequences, workflows and forecasting live. It's worth it when one rep's time saved on follow-up is worth more than the seat price, usually for teams doing a lot of outbound.

The alternative at that point

If you need automation but Professional is too big a jump, compare Pipedrive's Growth plan: email sync and automations at a much lower price. We go through the trade-offs in HubSpot vs Pipedrive.

Make the free plan work harder

  • Write your best three emails as templates. Our follow-up guide has ones you can copy.
  • Use the deal stages to match how your buyers decide, not how you'd like them to. The sales process guide has a simple set.
  • Put a next step and a date on every open deal, every week.
